About The Position

Under the direct supervision of the Manager, Industrial Assistance, the Administrative Assistant Apprentice performs administrative and clerical duties while participating in a structured apprenticeship program. This position is designed to develop the apprentice’s knowledge, skills, and abilities through on-the-job learning (OJL) and related instruction, progressing toward full proficiency as an Administrative Assistant. The apprentice supports procurement, coordination, and administrative activities for the Shop and Ship Repair Division while learning established office systems, procedures, and compliance requirements.

Requirements

  • Working knowledge of basic office practices and administrative procedures
  • Ability to communicate effectively, both orally and in writing, with internal staff, vendors, and external stakeholders
  • Ability to read, write, and comprehend instructions, correspondence, and reports
  • Ability to apply common understanding to carry out instructions furnished in written or verbal form
  • Ability to balance multiple tasks in a deadline-driven environment
  • Ability to manage electronic communications and data entry accurately
  • Basic to intermediate proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint, file management)
  • Willingness to learn federal, local, and company regulations related to administrative operations
  • Strong interpersonal skills with the ability to maintain professionalism and confidentiality
  • Enthusiastic, dependable, and motivated to learn and grow within an apprenticeship framework
  • High School Diploma or General Equivalency Diploma (GED)
  • Must meet eligibility requirements for participation in a registered apprenticeship program
  • Possession of a valid Guam Driver’s License
  • Ability to obtain Transportation Worker Identification Credential (TWIC) and/or DBIDS Credential

  • Prior administrative or clerical experience preferred

Responsibilities

  • Perform internal administrative and basic accounting support functions under supervision
  • Assist in preparing bid port costs, estimates, and supporting documentation
  • Prepare maintenance reports and enter data into maintenance and tracking software
  • Maintain organized electronic and physical filing systems
  • Assist with scheduling, correspondence, and coordination of division activities
  • Support procurement, records management, and administrative reporting functions
  • Follow established policies, procedures, and confidentiality requirements
  • Demonstrate regular, dependable attendance and punctuality
  • Participate in required apprenticeship training, evaluations, and progress reviews
