Executive, Legislative, and Other General Government Support

This position provides high-level administrative, organizational, and clerical support to the Alternative Programs Coordinator and district alternative programming. Responsibilities include managing data systems, supporting staff hiring and onboarding, assisting with budgets and compliance reporting, and serving as a primary contact for students, families, and staff engaged in alternative programs.

  • Assist students, staff, and parents, including greet people entering the office; assist with directions, information, provide positive and friendly customer service in person and over the telephone.
  • Provide clerical support, which may include managing office communications and scheduling.
  • Data entry, copying, filing.
  • Develop and distribute program materials.
  • Compose correspondence and spreadsheets using Word and Excel.
  • Support preparation and monitoring of budgets.
  • Process purchase orders, contracts, and financials.
  • Generate reports for district leadership and MDE.
  • Train/support program staff in clerical and system functions.
  • Coordinate logistics for transportation, staff, facilities, and instructional materials.
  • Maintain organized records, databases, and reporting systems.
  • Assist with compliance documentation and program evaluations.
  • Recommend and implement improved processes.
  • Other duties as assigned.
  • High school diploma or equivalent for all new hires after July 1, 2006.
  • Skills assessment in accordance with established OPEIU testing process.
  • Proficiency with Microsoft Office, Google Workspace, Infinite Campus and data management.
  • Basic accounting skills.
  • Excellent customer service and communication skills.
  • Proven organizational skills with strong attention to detail and ability to multi-task, prioritize work, and meet necessary deadlines.
  • Demonstrates ability to handle sensitive information with discretion and maintain a high level of confidentiality.
  • Demonstrates dedication to fostering an inclusive, respectful, and equitable work environment.
  • Prompt, regular, and reliable attendance.
  • Administrative or office management experience in education.
  • Familiarity with alternative learning programs.
  • Knowledge of state and federal reporting.
  • Budget monitoring or basic accounting.
  • Bilingual or bilingual skills.
