About The Position

The Administrative Assistant - Acute Care (Nursing Administration Assistant) is a valued position that provides support to Lake Region Healthcare's nursing operations. This person has contact with employees, prospective employees, volunteers, community, administration, new employees, providers, and department leaders. This position requires the ability to effectively communicate with staff and the public, to provide a wide range of information with accuracy, staff nursing departments in the acute care setting and to perform clerical support with efficiency and neatness. Effective interpersonal and communication skills are essential for this position. The incumbent has access to sensitive, confidential information and must be able to maintain those confidences. Duties include but are not limited to: Provides executive and nursing leadership support, including calendar management, clerical functions, communications, and departmental coordination. Coordinates nursing staff scheduling: prepares schedules, maintains staffing records, tracks census/acuity, fills open shifts, and ensures compliance with policies, union contracts, and seniority rules. Coordinates recruitment and onboarding processes, including job postings, interviews, orientations, and status changes. Organizes education and professional development activities, including orientations, in-services, workshops, Daisy awards, and related communications, materials, and logistics. Maintains and updates departmental manuals, nursing forms, educational resources, and electronic/document filing systems. Supports clinical and administrative operations such as admissions coordination, outpatient scheduling, committee meetings, and executive secretary backup coverage. Provides general office and facilities support, including answering phone calls, mail distribution, equipment tracking, supply management, copying, and maintaining shared workspaces. Utilizes Microsoft Office and healthcare-related systems to maintain accurate records, reports, and organized digital files; participates regularly in staff meetings.

Requirements

  • Requirements are representative of minimum levels of knowledge, skills, and/or abilities.
  • High school diploma or equivalent education preferred
  • Ability to communicate effectively both orally and in writing
  • Ability to operate a computer and word processing equipment
  • A good working knowledge of grammar and spelling of English language
  • Ability to work with and for a variety of persons
  • Working knowledge in Windows, Microsoft Outlook, Microsoft Word, Microsoft Publisher and Microsoft Office Excel.
  • Knowledge of or ability to learn the electronic incident tracking system.
  • Successful completion of the pre-employment health screening process required.
  • Must be able to attend the work site per schedule.
