About The Position

The College of Science at the University of Nevada, Reno is seeking applications for an Administrative Assistant 4. Reporting to the Coordinator of Event Planning, this position plays a key role in supporting the planning, coordination, and execution of College of Science events, meetings, and donor engagement activities. The role ensures the success of these initiatives through detailed logistical oversight, fiscal management, and strategic administrative support, while also contributing to donor relations and advancement efforts. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment, enjoys event coordination, and brings strong organizational and problem-solving skills.

Requirements

  • Graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR One (1) year of experience as an Administrative Assistant III in Nevada State service; OR An equivalent combination of education and experience as described above.

Responsibilities

  • Manage the full lifecycle of small-scale events, from initial planning through execution and post-event follow-up.
  • Oversee event logistics, including catering, venue selection, vendor negotiations, guest list coordination, and on-site staffing.
  • Conduct financial analysis for events, including forecasting budgets, performing cost-benefit analyses, prioritizing expenditures, and making resource allocation decisions.
  • Supervise temporary and student event staff as needed, including delegating tasks, managing priorities, and resolving issues in real time.
  • Provide administrative and financial support to enhance donor relations and event outcomes.
