About The Position

Provides administrative support in an efficient and timely manner to the Chiefs of Hospitalist and Critical program, Practice Manager and medical staff within the department. This requires being familiar with all of their responsibilities, maintaining departments schedule, screening all calls and reviewing mail, faxes and taking appropriate action, and serving as the liaison between Chiefs, Practice Manager and providers. Consistently provides service excellence to all patients, family members, visitors, volunteers and co-workers in a manner that reflects CCH’s commitment to CARES\: compassion, accountability, respect, excellence and service.

Requirements

  • Completion of a two (2) year Secretarial Program or three to five (3 to 5) years experience as an administrative assistant in hospital and/or medical practice.
  • Excellent communication skills, ability to communicate effectively and professionally across with orally and through correspondence
  • Excellent organizational skills and ability to multi-task
  • Highly proficient in Microsoft Office\: Outlook, Word, Excel and PowerPoint
  • Experience with Patient Keeper and knowledge and/or ICD-10
  • Use of discretion in confidential matters

  • Medical Terminology preferred
  • Experience and general knowledge of medical credentialing processes, preferre

Responsibilities

  • Answer telephone, screen and direct calls from patients, family members, pharmacies, funeral homes and directs to the appropriate person, takes detailed messages when necessary.
  • Establish and maintain files and records including but not limited to, credentialing packets, medical licensing materials, tracking and processing check requests of continuing medical education reimbursement for providers and equipment reimbursement, per providers yearly allowance.
  • Works closely with the Medical Staff Office on various items required for Hospital Credentialing, including obtaining pagers and badges for new providers
  • Preparation of payroll, including entering vacation, sick time and creating spreadsheet of moonlighting pay, night differential and other special codes as may be required to assist in processing of payroll
  • Review of Locum Tenans agreements, processing time sheets of Locums, inputting Locum’s and per diem charges in Patient Keeper, obtaining hotel accommodations when needed.
  • Scheduling staff meetings, candidate interviews and in-services for department.
  • Attendance at staff meeting, responsible for taking diligent minutes and distribute to department upon completion.
  • Assists with reconciliation of provider charges. Tracking week ending encourters and month end encounters of providers.
  • Ordering departmental materials and supplies. Including office supplies, lab coats and other items as needed
  • Perform other work related duties as assigned or requested.
