About The Position

The Administrative Assistant II at MIT's Norman B. Leventhal Center for Advanced Urbanism is responsible for providing varied and complex support to the center. This role requires a flexible team player who can multitask effectively in a fast-paced environment with changing priorities. The assistant will manage scheduling, travel arrangements, financial activities, and event coordination, while also serving as a liaison among students, staff, and faculty.

Requirements

  • High school diploma or GED; Bachelor's degree preferred.
  • At least three years of administrative, office, or related experience.
  • Excellent interpersonal skills for interacting with diverse groups.
  • Excellent writing, editing, and proofreading skills.
  • Attention to detail and excellent organizational skills.
  • Proficiency with MS Office (Word, Excel).
  • Ability to quickly master new software programs as necessary.
  • Advanced knowledge of financial tracking and administrative best practices.

Nice To Haves

  • Interest in architecture, urban planning, or related disciplines.
  • Experience with simple website and social media updates.
  • Experience with MIT business applications such as SAPgui, Concur, Google Workspace, and Dropbox.
  • Experience at MIT.

Responsibilities

  • Schedules complex appointments, meetings, and travel arrangements.
  • Prepares complex itineraries for multiple constituents and processes travel reports.
  • Handles financial activities including purchasing, expense tracking, and monthly reconciliation.
  • Coordinates and arranges meetings, workshops, and conferences, including logistics.
  • Assists with the coordination of major events and hosting external visitors.
  • Composes and edits correspondence and other documents.
  • Gathers materials and proofs content for newsletters and social media.
  • Maintains contact databases and office equipment inventory.
  • Acts as the primary point of contact for general inquiries and requests.

Benefits

  • Full-time position with a salary range of $48.1K - $61K per year.
