About The Position

The College of Sciences Academic Advising Center at the University of Nevada, Las Vegas seeks applicants for the role of Administrative Assistant 2. The AA2 ensures that the daily operations of the Advising Center run smoothly. The major purpose of this job is to establish and maintain a professional and welcoming environment that will aid students in their pursuit of a business degree and post-graduation employment or education. The AA2 will allow students to receive timely and accurate information and services from all staff members and programs that are part of the area. The AA2 will run the area that serves as the main entrance and first stop for current and prospective students and visitors to the College of Sciences. A high level of customer service is expected from the AA2 at all times. The AA2 will support the daily functions for the office, which includes screening students to determine eligibility for advising appointments, drop-in advising, and attendance at group advising sessions; reviewing student attributes and make initial eligibility determinations based on established criteria and requirements; receiving requests for exceptions and refer to designated academic advisor; training and supervising undergraduate student workers who provide routine administrative support to the unit by creating and maintaining advising records and files, scanning, saving, and naming documents appropriately, answering telephones, and assisting students and other visitors to the office; establishing and maintaining confidential record keeping system for academic files; ensuring accessibility of information and appropriate storage space is available; creating and maintaining personalized packets for new student orientation and transfer group advising sessions; developing purging and archiving procedures according to established records retention schedules; calling students regarding paperwork and appointment reminders; picking up and distributing mail; opening and/or closing the office; photocopying, scanning, and faxing; taking inventory and ordering supplies; providing support to assistant dean and staff from Undergraduate Advising, Career and Professional Development, First-Year Seminar and Business Communication coordinator; preparing documents; appointment scheduling; requesting room reservations; coordinating special event logistics; assisting with special events, receptions, and special projects. The successful candidate will demonstrate a proficiency in applying and/or learning the tools necessary for the job including, but not limited to Workday; MyUNLV (Peoplesoft); Google Application Suite; Archibus; Adobe Acrobat; Microsoft Excel; Microsoft Word. Successful candidate is expected to complete job duties as assigned in an accurate and timely fashion, while learning, implementing and upholding state, NSHE and UNLV rules, standards and policies.
