About The Position

The Administrative Associate 3 provides comprehensive administrative and clerical support to the Dean and other key personnel within the College of Pharmacy at the University of Tennessee Health Science Center. This role is essential for ensuring smooth operations within the Dean's Office Suite, offering exceptional customer service to faculty, staff, students, and guests, while managing various administrative tasks and responsibilities.

Requirements

  • High School Diploma or GED (Transcript Required).
  • Four (4) years of administrative experience; OR Associate's Degree and two (2) years of administrative experience; OR Bachelor's Degree in lieu of experience.
  • Proficiency with Microsoft Office suite.
  • Ability to type 30 wpm.
  • Ability to maintain confidentiality.
  • Ability to communicate professionally and effectively in person and on the phone with people of different backgrounds and nationalities.
  • Ability to work without supervision; is a self-starter.
  • Knowledge in Word Processing, Excel, presentation, and database software.
  • Excellent communication skills (written and oral).
  • Ability to be personable, patient, and multi-task.

Responsibilities

  • Monitors budget including tracking account expenditures and assisting with monthly report generation.
  • Coordinates with department administrators and faculty/PI to ensure accounts are approved and reconciled within University Policy.
  • Greets and assists faculty, staff, students, and guests entering the Dean's Office Suite.
  • Answers multi-line phone daily; manages phone calls for Associate Deans of Student and Academic Affairs and assists in maintaining calendars and arranging meetings.
  • Performs a wide variety of documents which are sometimes confidential in nature; including data entry, drafting, editing, revising, and printing letters, spreadsheets, reports, and other materials.
  • Prepares and enters travel authorizations and reimbursements in IRIS for office personnel and students.
  • Processes vouchers, invoices, accounts payable/receivables including procurement card purchasing and reconciliation according to University policy.
  • Assists other offices in the Dean's Suite including the Offices of Student and Academic Affairs.
  • Acts as liaison between the students and administrative staff.
  • Assists with acquiring articles from journals, books and other material for faculty use in teaching.
  • Performs other duties as required.
