About The Position

The Administrative Aide position at Health Research, Inc. is integral to supporting the Bureau of HIV/AIDS Epidemiology within the AIDS Institute. This role focuses on providing comprehensive administrative support to the Bureau Director, Assistant Director, and other staff members, facilitating the bureau's mission to combat HIV/AIDS and promote health equity in New York State. The position involves managing schedules, coordinating meetings, and handling logistics to ensure efficient operations within the bureau.

Requirements

  • Bachelor's degree in a related field; OR an Associate degree in a related field and one year of general office, secretarial, or administrative experience; OR three years of such experience.
  • At least three years of experience providing administrative support in an office setting.
  • Experience with MS Office (Word, Excel, PowerPoint) for document preparation and presentations.
  • Experience with email systems, specifically Outlook, and electronic calendars.
  • Experience with data entry and handling sensitive or confidential information.
  • Experience managing multiple phone lines.

Nice To Haves

  • Experience working with a variety of software for document preparation and presentations.
  • Familiarity with grant-funded positions and compliance requirements.

Responsibilities

  • Manage the Bureau Director's calendar and coordinate schedules.
  • Schedule meetings and handle all logistics related to them.
  • Answer and triage telephone calls.
  • Assist in creating and editing presentations, documents, and spreadsheets.
  • Prepare travel paperwork and make travel arrangements.
  • Assist with Bureau of HIV/AIDS Epidemiology purchasing activities.
  • Perform other related duties as assigned.
