Idaho Falls Community Hospital is looking for a Medical Surgical Administrative Aide to join our team! JOB SUMMARY: The MedSurg Administrative Aide is responsible for providing comprehensive administrative and office support to the MedSurg unit leadership team. This ancillary role ensures efficient operational workflows and optimal patient care by assisting with scheduling, resource management, and communication. The individual in this position acts as a crucial link between the leadership team and staff, promoting seamless coordination and collaboration. Requirements

  • Current Certified Nursing Assistant (CNA)
  • Minimum or 1 year experience in administrative support experience, preferably in healthcare setting.
  • Proficiency in Microsoft 365 Products (Word, Excel, PowerPoint, Outlook, Teams, Lists) and familiarity with a hospital management software, especially Cerner.
  • Strong communication skills and ability to collaborate as a team member.

Nice To Haves

  • Associate’s degree in business administration, healthcare administration, or related field preferred.
  • Basic Life Support (BLS)

Responsibilities

  • Assist the MedSurg unit leadership team with administrative tasks and special projects.
  • Prepare and manage correspondence, reports, and documents for the leadership team.
  • Ensure adequate coverage for all shifts.
  • Coordinate with the management team to address staffing needs and adjust schedules as necessary.
  • Monitor and manage time-off requests, ensuring minimal disruption to unit operations.
  • Assist in the implementation and monitoring of departmental policies and procedures.
  • Ensure compliance with hospital standards and regulatory requirements.
  • Act as a point of contact between staff and the leadership team.
  • Facilitate effective communication and problem-solving among staff members.
  • Relay important information and updates from the leadership team to staff.
  • Monitor and manage inventory levels of supplies and equipment, coordinating with the supply chain department for replenishments.
  • Assist in maintaining and organizing unit resources, ensuring availability and accessibility.
  • Track and report on staff performance, providing feedback and support for improvement.
  • Assist in the development and implementation of training programs for staff.
  • Conduct regular check-ins with staff to address concerns and provide guidance.
  • Participate in quality improvement initiatives aimed at enhancing patient care and unit efficiency.
  • Collect and analyze data to identify areas for improvement and recommend solutions.
  • Collaborate with the management team to implement changes and evaluate outcomes.
  • Regularly update FTE to assist the management team in recruitment decisions
  • Monitor recruitment efforts
  • Participate in tasks as assigned by the MedSurg leadership team.
