Requirements

  • Intermediate or advanced experience in office software, including Excel and Microsoft Office
  • Familiarity with general bookkeeping and project management processes
  • Flexible attitude and comfort with managing requests in a fast-paced environment
  • Experience with Vantagepoint or similar project management/accounting software is a plus
  • Ability to adjust schedule as needed to support special events

Responsibilities

  • Greeting and orienting visitors at the front desk
  • Answering and transferring incoming calls and email inquiries
  • Assisting office leadership with administrative needs, including food and office supply orders
  • Maintaining the office Outlook calendar
  • Coordinating meetings and events, including training classes
  • Requesting and processing forms like insurance certificates and W-9s
  • Preparing proposal deliverables, including printing and binding
  • Acting as a liaison for corporate administrative staff
  • Providing bookkeeping support, documenting credit card and petty cash purchases
  • Setting up projects in accounting and project management software
  • Packaging monthly electronic invoices and submitting to clients
  • Coordinating with project managers on billing revisions and invoice changes
  • Tracking unpaid invoices and following up with clients
  • Organizing and producing electronic and hard-copy deliverables for projects and proposals
