About The Position

SNL Painting is seeking a detail-oriented Administrative & Accounting Coordinator to manage core financial processes and support sales intake operations. This role ensures clean books, timely invoicing, consistent accounts receivable follow-up, accurate payroll processing, and organized administrative systems. This is a remote position with occasional in-person meetings.

Requirements

  • 3+ years QuickBooks Online experience.
  • 3+ years bookkeeping or accounting experience.
  • Strong attention to detail and process discipline.
  • Comfortable communicating professionally by phone and email.
  • Secure in learning and using cloud-based software tools.
  • Ability to work independently and manage recurring responsibilities.
  • Ability to pass a background check.

Responsibilities

  • Answer Phones and direct calls to the appropriate person or department.
  • Process all inbound requests for estimates via phone, online, e-mail, and schedule sales appointments.
  • Support Senior Estimators as needed.
  • Create and send deposit, progress, and final invoices.
  • Monitor accounts receivable and follow up on overdue balance.
  • Maintain vendor records and manage accounts payable.
  • Ensure receipts are properly captured and coded in QuickBooks Online.
  • Review and process payroll, including PTO tracking.
  • Prepare weekly financial reporting (AP, AR, cash position).
  • Maintain written SOPs for recurring financial processes.
