About The Position

The Administration Division Executive Assistant provides high-level administrative support to the Managing Director and Deputy Managing Director of Administration. This role is crucial in managing complex schedules, communications, and projects while working closely with department directors. The ideal candidate will demonstrate exceptional organizational skills, discretion, and the ability to work independently in a fast-paced environment.

Requirements

  • Bachelor's degree and two years of experience supporting an executive-level position, OR an Associate's degree and four years of experience, OR a high school diploma with six years of experience supporting an executive-level position.
  • High proficiency in Microsoft Office Suite (Teams, Outlook, Excel, PowerPoint, Word, Planner).
  • Exceptional written and verbal communication skills.

Responsibilities

  • Proactively anticipate needs to support various administrative functions in a time-sensitive and confidential manner.
  • Manage and maintain the daily calendars of the Managing Director and Deputy Managing Director, including scheduling meetings, appointments, and travel arrangements.
  • Organize and manage executive-level meetings, preparing materials, creating agendas, and documenting minutes.
  • Draft, edit, and review communications such as emails, presentations, and reports.
  • Maintain all aspects of the division's financial responsibilities, including budget preparation and monitoring.
  • Assist in the coordination of strategic initiatives and special projects led by the Managing Director and Deputy Managing Director.
  • Collaborate effectively across departments to support the execution of organizational priorities.

Benefits

  • Salary range of $74,153 - $96,753.
