Job Summary The Administrative Services Coordinator will provide daily support to the Premium Ticket Operations management team by performing administrative tasks including, but not limited to, preparing contracts, managing client records, performing ticketing duties, and preparing various reports.

Requirements

  • A minimum education level of: High School Diploma or its equivalency (Bachelor of Arts/Sciences Degree Preferred).
  • Minimum of 2-4 Years of related work experience.
  • Proficient with Microsoft Outlook, Excel, and Word with the ability to learn required business systems.
  • Excellent written and verbal communication skills.
  • Ability to work under pressure and multi-task in a fast-paced environment.
  • Ability to prioritize workload, analyze and problem solve.
  • Highly organized, resourceful, and detail-oriented.
  • Must be able to work evenings, weekends and holidays, as needed.

Nice To Haves

  • Previous experience with AXS or other ticketing system preferred.

Responsibilities

  • Administer and prepare premium inventory license agreements, amendments/addenda, and other legal documents.
  • Perform ticket operations tasks such as creating invoices, processing payments, and adding parking and license fees into the customer’s account.
  • Audit agreements that have been processed to ensure contract terms are accurately reflected in our ticketing system and corresponding spreadsheets.
  • Create and manage premium member accounts which include building new accounts in ticketing system, maintaining and updating contact information including primary email addresses, updating contract terms, and adding/removing additional contacts in account.
  • Route signed documents for execution and distribute fully executed copies accordingly.
  • Email and mail client correspondence including termination, default payment and contract changes.
  • Maintain and organize both physical and electronic filing systems: create new files, update labels when changes occur, scan and purge dead files.
  • Maintain departmental budget book by logging bills into the budget spreadsheet and submitting invoices for processing.
  • Take inventory and order all office supplies and equipment as needed.
  • Assist with other special projects, as needed.
