Job Summary This critical administrative position provides specialized administrative support and coordination the Y Social Impact Center’s behavioral health, foster care, and housing and homeless services divisions. This position supports the daily administrative operations at the various Y Social Impact Center business sites, while providing high-quality systems management, complex contract data entry and reporting, auditing, and administrative support. This position is at the Social Impact Center Y, the social services branch of YMCA of Greater Seattle (YGS). The mission of the Social Impact Center Y is to accelerate young people’s ability to build safe, successful, and happy lives. Every year, we serve 5,000 children, youth, young adults, and families across King County with programs that aim to strengthen young people’s ability to develop to their fullest potential through four strategies: reducing risk factors; navigating systems towards successful life transition; ensuring stability, safety and wellness in times of crisis; and building competencies and social capital. The Social Impact Center Y’s programs include housing, behavioral health, foster care licensing, violence prevention, education, and employment. Many of the young people we serve have had involvement in the foster care, criminal justice system, and/or homelessness systems. Position Type/Expected Hours of Work This is a full-time position, and hours of work and days are Monday through Friday, 8:30am - 5pm. The position requires in office work 5 days a week. Requirements

  • 2+ years’ experience or training in a medical, behavioral health office or social services administration.
  • Ability to work independently and within a team approach.
  • Demonstrated experience working with complex data and maintaining database.
  • Knowledge of privacy guidelines as well as maintaining and protecting all confidential information
  • Other applicable education, training, and experience, which provide the knowledge, abilities, and skills necessary to perform effectively in the position will be considered.
  • Strong professional and organizational skills with attention to details, timeliness and follow-through.
  • Direct experience and proficiency with Microsoft Office Suite and web-based electronic records.
  • The ability to work well within a fast-paced, constantly changing environment. Responsive to quick turnaround times and able to manage multiple deadlines.

  • Ability to speak any language in addition to English.
  • Knowledge of Commercial, Medicare/Medicaid and Medicare/Medicaid HMO's.

Responsibilities

  • Support program administrative processes, guidelines, and workflows for administrative, program, and department staff.
  • Conduct analysis and gather requirements for data collection.
  • Attain optimal understanding of HMIS, Credible, and other relevant data systems as necessary.
  • Provide operational and facility support for one or more administrative and program sites, encompassing tasks such as supply ordering, data entry, general administrative duties, supports client appointments and reporting.
  • Offer support across the agency for foster care division, behavioral health, and housing and homelessness programs, as well as other programs within the Y, covering projects and staffing needs as required.
  • Verify eligibility, facilitate billing processes, and communicate information to clients.
  • May collect service fees, track payments, and monitor accounts for delinquent charges.
  • Maintain client and personnel records in accordance with regulatory and contract requirements. Update and generate reports to notify staff when reviews and renewals are due. Respond to requests for information from staff, government offices, and others.
  • Cultivate and maintain effective, professional relationships with all clients, families, and staff members.
  • Provide comprehensive administrative support to programs and department staff, remaining current with program changes.
  • Compile and prepare data/reports on a regular basis, identifying and documenting trends for leadership review.
  • Assist with audit and year-end report preparation.
  • Maintain relational databases, process paperwork, and manage related directories and files.
  • Support the assessment of workflows to identify what can transition to automated systems.
  • Provide consistent, high-quality customer service to participants, visitors, and staff by ensuring welcoming spaces, accessible resources, and responsive support.
  • Supports, maintains, troubleshoots Foster Care billing / invoicing systems.
  • Works with the team to revise forms according to legal and contractual changes. Maintains up to date forms in central computer files for all staff.
