About The Position

The Admin & Clinical Services Coordinator at Children's Hospital of Philadelphia (CHOP) provides advanced administrative and clinical management support for faculty and care teams, focusing on clinical care, research, and education. Requirements

  • High School Diploma / GED Required
  • At least three (3) years of progressively responsible administrative support in an academic, ancillary or office setting Required
  • Basic knowledge of medical terminology and protocols Required
  • Basic knowledge of HIPAA regulations Required
  • Intermediate proficiency with electronic medical record software (EPIC) Required
  • Intermediate proficiency with Microsoft Word Required
  • Intermediate proficiency with Microsoft Excel Required
  • Excellent verbal and written communication skills Required
  • Excellent interpersonal skills Required
  • Excellent organizational skills Required
  • Strong time management skills Required
  • Ability to maintain confidentiality and professionalism Required

Responsibilities

  • Perform advanced administrative tasks to support clinical, research, and teaching activities.
  • Manage clinical care coordination including intake, triage, communication, documentation, and scheduling for patient families.
  • Serve as the key point of contact for patient MyCHOP messages and administrative inquiries.
  • Communicate with external customers including referring physicians and home care companies.
  • Work closely with Social Work for the workflow of transfer patients and collect necessary demographic and clinical information.
  • Handle IP referral duties and ensure timely follow-up care for patients.
  • Utilize QGenda tool for scheduling and managing provider appointments and exam rooms.
  • Provide complex patient access services including scheduling appointments and documentation.
  • Respond to complex inquiries and assist stakeholders according to procedures.
  • Track important clinical and academic correspondence and maintain record-keeping systems.
  • Support faculty academic activities including CV updates and meeting organization.
  • Schedule and provide administrative support for complex meetings and travel arrangements.
  • Oversee office supplies and assist with the new hire process.
