About The Position

Transforming Age, located in Bellevue, WA, is looking for a front-desk Admin Assistant to join our team! This is a fantastic opportunity for someoine looking for 20-25 hours a week, working with an incredible team dedicated to improving the lives of older adults! Our Admin Assistant: Supports our Mail Coordination: Receive, sort, and distribute incoming mail and packages; prepare outbound shipments; manage courier pickups and mailroom supplies. Is our Vendor / Facilities Liaison: Coordinate with vendors for office services and facilities needs; track service tickets; support office moves and equipment logistics. Provides Administrative Support: Assist with document prep, scanning, filing, meeting set-ups, and visitor reception; route invoices or purchases per process. Assists our Community & Corporate Personnel: Respond promptly to all requests; provide clear status updates; close out tasks in Teams/Workday or ticketing tools. Supports Office Organization & Stocking: Maintain a clean, organized office environment; monitor and replenish supplies; ensure meeting rooms and shared spaces are operational Supports Confidentiality and Professionalism: Uphold professional service standards and confidentiality in all areas of service. Promotes the Mission, Vision, and Values of our Transforming Age Culture of Excellence Performs other duties as assigned.

Requirements

  • High School Diploma or equivalent.
  • 1–2 years in office administration, mailroom/services, facilities coordination, or similar customer‑facing support role; or an equivalent mix of training and experience.
  • Strong customer service, communication, and organization skills.
  • Proactive nature and ownership mindset for tasks and office space.
  • Comfort with ambiguity and ability to adapt to changing priorities.
  • High proficiency with Microsoft Office 365, Adobe Acrobat, and technical acumen to to learn new systems quickly and efficiently.
  • Ability to effectively communicate in the English language.
  • Completion of a background screen.
  • Ability to lift/move packages up to ~30 lbs and stand/walk during mailroom or event set-ups (with reasonable accommodation).
