About The Position

Overview Job Summary: Demonstrates through behavior Decatur Morgan Hospital’s mission, vision and values. In addition, the administrative assistant provides clerical support to the CNO, Service Line Director Inpatient Nursing and nursing director. Responsibilities Key Responsibilities / Essential Functions Retrieves and distributes mail via mailroom, facsimile, and electronic means Maintains all records related to employee attendance: electronically and paper records. Generates attendance reports for the Service Line Director - Inpatient Nursing and the Nursing Directors in the Inpatient Service Line. Performs all Time-Keeping for the Inpatient Nursing Service Line (approximately 300 employees). Maintains files and manuals in a manner that supports the easy retrieval of documents and information for the Chief Nursing Officer, Service Line Director – Inpatient Nursing and the Nursing Directors in the Inpatient Nursing Service Line. Is knowledgeable and performs computer applications as appropriate to clerical responsibilities. Provides an array of clerical support to the Chief Nursing Officer, Service Line Director of Inpatient Nursing and the Nursing Directors in the Inpatient Nursing Service Line to include but not limited to filing, preparing employee documents, preparing basic Excel spreadsheets, PowerPoint presentations, Word documents, budget reports such as productivity, BAR, and supply expense reports. Maintains the Continuing Education Files and processes all evaluations, certificates, and data input into the Alabama Board of Nursing Portal. Supports the Nursing Educators with class planning and proctoring. Support includes but is not limited to scheduling space; meal planning; preparing hand-outs etc. Inputs all necessary education information into Symplr as directed by the Nurse Educators. Prepares and inputs the staff schedule for the Nursing Departments. Takes and maintains the minutes various meetings as assigned. Processes invoices for payment. Other duties as assigned by the Chief Nursing Officer and/or Service Line Director – Inpatient Nursing

A minimum of two years business administration and/or secretarial experience required.
Must be proficient in Microsoft Word; Excel; PowerPoint; use of and troubleshooting office equipment to include but not limited to copier, facsimile, personal computer etc.

Nice To Haves

An Associates or Bachelor’s degree in Business Administration or Secretarial Science is preferred.
Will consider High school diploma or GED with equivalent experience in business administration and/or secretarial science.
