About The Position

The Administrative Assistant will assist the Sales Administrator and all visitors to the store by handling office tasks, providing polite and professional assistance via phone, mail, and email. An important part of your role will be to act as the liaison between the Sales and customers, ensuring smooth communication and prompt resolution of requests and questions.

Requirements

  • An associate or bachelor’s degree in business administration or equivalent experience.
  • One to three years of previous experience is preferred, or an equal combination of education and experience.
  • Exceptional interpersonal and customer service skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Advanced knowledge of administrative recordkeeping.
  • Proficient in Microsoft Office Skills (Excel, Word, Outlook, etc.)

Responsibilities

  • Greets all customers and visitors.
  • Contacting customers by phone or email to answer queries and obtain missing information.
  • Manages all incoming calls, direct appropriately, or take message as needed.
  • Manages incoming/outgoing mail and shipments.
  • Maintains and updates sales and customer records.
  • Directs customer feedback to relevant departments or sales representatives.
  • Assist in preparation of regularly scheduled reports and/or commissions.
  • Plan, organize, and schedule company meetings in the office, off-site, and via videoconference.
  • Maintains a clean and presentable show room by complying with procedures, rules, and regulations.

  • Contributes to team effort by accomplishing related results as needed.
  • Supports the sales department with other administrative tasks as needed.
