About The Position

Provisions of the Administrative Assistant is to provide clerical support to the Director for Adult Services. This position is under the supervision of the Director Adult Services.

Requirements

  • High school diploma or general education degree (GED); and at least eighteen months of general office work experience; or equivalent combination of education and experience.
  • Must demonstrate beginner to intermediate computer knowledge with Word for Windows and Excel.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Must pass a criminal background check; must not have any felony convictions.
  • Must be able to work in a culturally sensitive environment with Tribal Elders and vulnerable adults by adjusting to and accommodating their needs.
  • Must have strong communication skills in order to accurately share information with staff and clients.
  • Must be knowledgeable in all aspects of general office practice.
  • Must maintain confidentiality.
  • Ability to take direction.
  • Ability to assist the Director in preparing reports on a quarterly basis, end of year reports, and assist Director in submitting Grant Proposal.
  • Must have and maintain a valid and unrestricted Washington State driver’s license. Driver’s license must not contain any restrictions that would prevent the employee from driving a GSA vehicle.
  • Must be able to drive a 15 person passenger van.
  • Must have or be able to obtain CPR/First Aid certification within the first 90 days of employment.
  • Must submit to and pass a criminal background check prior to employment and periodically after employment.

Responsibilities

  • Answers and routes calls and takes accurate messages.
  • Prepares memos and types correspondence as directed by the Director.
  • Provides support to department staff and does data entry and prepares documents and reports using Excel, Word, ten-key and scanner.
  • Prepares invoices to be paid by Accounting.
  • Works closely with other Tribal departments to meet the needs of Vulnerable Adults.
  • Responsible for photocopying and facsimiles.
  • Attends and participates in regularly scheduled meetings.
  • Assists in preparing client files. Establishes, organizes and maintains a comprehensive record system. Reviews records to ensure data is accurately and uniformly recorded and retained.
  • Assists the Director in preparing reports on a quarterly basis, end of year reports, and assist Director in submitting Grant Proposal.
  • Assists clients in scheduling appointments, networking with social service agencies and transportation needs.
  • Performs other duties as assigned.
