About The Position

The position is under the direction of the Director of Food & Beverage, coordinating office activities including scheduling appointments, delegating work, and providing information to callers. The incumbent will relieve the Director of clerical administrative and business-related details. The role requires adherence to the Seminole Tribe's Policies and Procedures, taking dictation, composing correspondence, maintaining filing systems, screening calls, and managing the Department Head's calendar. The position also involves arranging travel accommodations, composing responses to inquiries, and promoting positive public/employee relations.

Requirements

  • High School diploma or GED.
  • 1 to 2 years of related experience and/or training.
  • Ability to read, analyze and interpret general business periodicals and technical procedures.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions.
  • Ability to calculate figures and amounts such as discounts and percentages.
  • Ability to apply concepts of basic algebra and geometry.
  • Ability to solve practical problems and deal with a variety of situations.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

Nice To Haves

  • Prior supervisory experience preferred.

Responsibilities

  • Adhere to the Seminole Tribe's Policies and Procedures.
  • Take dictation in shorthand or by machine and transcribe notes.
  • Compose and type routine or complex correspondence and reports.
  • Establish and maintain department filing system.
  • Screen telephone calls and visitors.
  • Provide information to callers, including Tribal Council and senior management.
  • Perform a broad range of administrative details of a highly confidential nature.
  • Maintain calendar for the Department Head.
  • Arrange hotel and travel accommodations.
  • Open and review all mail directed to the Department Head.
  • Compose responses to routine inquiries and delegate items to subordinate managers.
  • Record Minutes of staff meetings and distribute to appropriate personnel.
  • Promote positive public/employee relations.
  • Maintain a clean, safe, hazard-free work environment.
  • Perform all other related and compatible duties as assigned.
