About The Position

The Acute & Emergency Services Operations Supervisor provides direct supervision typically to professionals or skilled technical employees. Functions as advisor to unit and administration. Analyzes and resolves problems, interprets policies (e.g., fiscal management, HR, contracts and grants, resource management in defined areas) and demonstrates solid subject matter knowledge. Exercises judgment within defined procedures and policies to determine appropriate action. Supervises staff to assure accountability and stewardship of department resources (operational, financial, and human) in compliance with departmental goals and objectives. The successful candidate will supervise clinic operations, typically spanning multiple providers, clinics and / or practices. Subordinates include staff involved with professional operational functions. Oversight of administrative areas such as practice revenue management, billing systems and procedures, facilities and safety procedures, registration, new patient coordination, scheduling, medical records storage and maintenance, and insurance authorizations. May also supervise patient support staff such as medical assistants or LVNs, in coordination with the nursing lead. The Acute & Emergency Services Operations Supervisor receives assignments in the form of objectives with goals and the process by which to meet goals. Responsible for supervising the day-to-day unit activities. Normally directs a section or group of analysts. Oversees and participates in complex projects and initiatives. Collaborates directly with internal and external stakeholders. Provides direction according to established policies and management guidance. The final salary and offer components are subject to additional approvals based on UC policy. Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement. The salary range for this position is $91,700 - $137,600 (Annual Rate). Requirements

  • Bachelor’s degree in related area and minimum five years of experience or equivalent combination of experience / training
  • Demonstrated supervisory and organizational skills to effectively supervise staff and to manage the complex workflow and multiple priorities involved with clinic / center administration.
  • Minimum three years supervisory/lead experience
  • Strong knowledge of practice operations, patient-scheduling systems, medical and insurance terminology, applicable information systems, patient service standards, and regulatory requirement and best practices
  • Strong knowledge of human resources management policies, with the ability to train, monitor, evaluate, and document human resources issues and performance, and to participate in decision-making on human resources matters
  • Strong analytical and critical thinking skills, with the ability to quickly analyze problems, determine appropriate level of intervention, and develop and apply effective solutions
  • Strong interpersonal skills for effective collaboration with all levels of management and staff, consultants, and outside agencies
  • Strong written and verbal communications skills, with the ability to train and mentor subordinates, to convey complex administrative, clinical, and technical information in a clear and concise manner, and to prepare and present a variety of reports, documentation, analyses, and project proposals
  • Strong knowledge of business software and specialized applications and data management systems used in clinic / center operations. Ability to train, coach, and support clinicians, trainees, and staff in documentation workflows, scheduling processes, IT systems, and administrative policies
  • Strong communication and coordination skills across multiple psychiatric service lines to support operational continuity
  • Ability to respond to urgent and emergent staffing issues in a high-acuity environment while maintaining calm, timely, and effective operational support
  • Strong knowledge of staffing and scheduling workflows supporting 24/7 acute and emergency psychiatric services (PES, Inpatient Psychiatry, MER, Jail Psychiatry)
  • Working knowledge of MyTime or comparable timekeeping systems, including shift differentials, historical edits, and payroll compliance
  • Knowledge of onboarding and system-access workflows across EPIC, Qgenda, and UCSF/DPH credentialing and IT systems
  • Ability to interpret and apply UCSF, DPH/ZSFG, and departmental administrative policies to daily operational workflows

Nice To Haves

  • Experience supporting administrative operations in emergency, inpatient, or psychiatric care settings
  • Experience with EPIC SmartPhrases, documentation workflows, and troubleshooting provider documentation issues
  • Experience with UCSF HR systems, UCPath, funding entry, and Controller’s Office processes
  • Experience designing or optimizing administrative workflows, job aids, or training materials
