About The Position

Reports to Director of Member Services. Plans and executes activities for Stock Farm Club Members and guests. Proactively identifies groups who are planning visits and engages with them in advance to plan their stay. Assists with Youth Activities, clinics, and classes. Develops and maintains a comprehensive community events calendar. Develops and nurtures professional relationships with outside service providers . Essential Duties & Responsibilities Assists Director of Member Services with researching, hiring, and training specific seasonal staff as requested, such as Activities Attendants and Pool Attendants. Assists with laundry services as requested. Assists with Concierge desk as requested. Works in conjunction with other office staff to ensure SFC phone lines are answered, calls are routed appropriately, and voicemails are promptly responded to on a regular basis. Maintains regular, on-site attendance to fulfill job responsibilities. Demonstrates consistent punctuality and reliability in attendance. Knowledge of and ability to perform required role during emergency situations. Assists in promotion of SFC activities, youth activities, and social programs. Assists with transportation services as requested. Assists in planning and executing camp programs and activities that feature outdoor living, creativity, education, and adventure. Helps to ensure that safety standards and procedures are maintained. Assists in the planning, supervising, running, and evaluating creative programs for the campers and providing required support to the staff, to assist with execution of these programs. Assists in the supervision of the campers, as needed or when support is sought out. Attends staff and management meetings to review policies and procedures, future business, and to continually develop quality and image of member activities. Assists in providing direct instructions to staff for member activities implementation. Must engage in professional respectful team-oriented working relationships. Must be detail oriented and provide excellent communication materials to Members regarding member activities. Assists in maintaining professional contact with Members and provides excellent member services to ensure satisfaction. Helps ensure employees provide excellent member service. Coordinates activities for groups of Members and guests. Works closely with the Cabins Department to identify upcoming groups of visitors. Engage proactively with those groups to determine their interest in and need for transportation, dining, shooting, riding, spa, golf, grocery shopping, T-accounts, etc. Communicates with the Lodging department about scheduled SFC special events during group stay. Works closely with other departments to schedule and reserve desired activities for groups. Monitors groups’ travel plans and make changes accordingly. Uses appropriate software or tracking tools to keep all information organized and scheduled, to follow up at approximately 6 weeks, 4 weeks, and 2 weeks. Checks in with groups throughout their stay to adjust activities as needed. Keeps other departments advised of groups’ sponsoring members, size of group, and dates. Assists in the execution with Kids’ Camps and Cubbies Camps. Works closely with Director of Member Services to program Camp curriculum. Assists in hiring Youth Camp Counselors (Leads and Assistants) and activities providers to ensure their adherence to plans. Utilizes computerized camp reservation system, bill participants, and pay activities providers. Assists in the management of approved department budget. Develops and maintains excellent relationships with activities providers such as yoga instructors, hike leaders, dance, music teachers, etc. Develops and maintains excellent relationships with organizations in the community such as the Forest Service, Teller Refuge, and Department of Fish, Game & Parks, etc. Plans and executes special activities and outings for members throughout the season such as bowling or gymnastics nights for children, family outings to farms, guided hikes, etc. Develops and maintains a comprehensive Community Calendar for the season and keep it updated with activities outside of Stock Farm, such as farmers markets, arts events, and theater performances. Works with General and Administrative department and Director of Communications & Executive Initiatives to keep updated calendar posted to website and App. Prepares and updates reference materials such as maps, restaurant/parks list, fly fishing information, activities available on property, etc. Assists with other duties and special projects as requested by Director of Member Services. May perform other duties as assigned.

Requirements

  • Must be able to pass employment background check and motor vehicle record checks.
  • Must possess valid driver’s license in accordance with the laws of the State of Montana; must be insurable under the company’s auto insurance policy.
  • Must be able to work variable schedule or irregular hours to include last-minute scheduling needs/changes and working split shifts based on needs of the Club operations and scheduled events.
  • Must be able to work holidays, weekday, weekend, and evening/late evening hours as required.
  • Ability to work outside in adverse weather conditions as needed and to walk on uneven ground.
  • Ability to perform same-day travel on Stock Farm Property and within local geographic region.
