The Action Officer role will be on a dynamic team, supporting Team Submarine In-service Program Office in Newport News, Virginia . Team Submarine’s Submarine COLUMBIA Class Program Office is responsible for: The construction of COLUMBIA Class submarines, financial and budget management, shipyard support of submarines, vendor support of submarines, logistical support, quality assurance (SUBSAFE), and post-delivery submarine certifications and test programs. The Team Submarine concept unifies once diverse submarine-related activities into a single submarine-centric organization with the goal of eliminating traditional stovepipe structures and processes that created impediments and inefficiencies in the submarine research, development, acquisition, and maintenance communities. Team Submarine provides improved communication among the various offices that contribute to the overall success of the United States Submarine Force. In this role, you will: Organize and maintain electronic and physical document systems. Assist with tracking and completion support of commitments and document completion. Analyze processes and workflows, formulate process improvement recommendations, analyze technical/programmatic information to ensure the smooth operation of the department, field location, or specific project. Research, assemble, and analyze facts, and present compiled data for senior leadership use in responding to actions which require their personal attention. Track action items to ensure they are completed on time and meet leadership expectation. Develop and implement office and organizational administrative policies and procedures. Maintain calendar, schedule commitments, and remind senior leadership of obligations. Prepare, process, and maintain complex paperwork and forms (must have extensive knowledge). Coordinate travel and prepare travel documentation to include expense reports. Safeguard sensitive business information, track and deliver time constrained and recurrent tasks using sensitive records, information, and data received on a constant basis. Spearhead the review of administrative and technical documentation for format, editorial, and subject-matter accuracy and clarity. Development, analysis, and presentation of products, training modules, and evaluation tools. Attend meetings and prepare notes and/or meeting minutes (attention to detail and punctuality is a must). Ensure correspondence (memoranda, letters, reports, instructions, etc.) is completed accurately in a timely manner in accordance with the Department of the Navy Correspondence Manual and applicable policies. Review Defense Travel System travel authorizations and vouchers for program office personnel. Update office organization chart and phone listings. Other administrative duties as assigned.

Requirements

  • Must have or be able to obtain/maintain a U.S. Department of Defense (DoD) Secret security clearance.
  • One of the following:
  • A High School diploma or GED with a minimum of 9 years of professional and/or military experience
  • Bachelor’s degree with a minimum of 5 years of professional and/or military experience
  • Master’s degree with a minimum of 3 years of professional and/or military experience
  • An advanced MS Office skillset to include Outlook, PowerPoint, Word, Teams, and Excel.
  • Ability to multi-task in a fast-paced environment accepting emergent tasking with little to no supervision and/or direction.
  • Discretion in performing specified work requirements.
  • Outstanding communication skills to build strong working relationships with a vast team of diverse professionals.
  • Attention to detail and the ability to meet tight deadlines, as well as work independently and with sufficient knowledge to present projects to senior management.
  • The ability to travel as required (up to 10% of the time).
  • The ability to work on-site in Newport News, Virginia.
