The position involves providing support to management through the orchestration of various administrative functions. The role is crucial in retaining customers by exceeding their expectations, which is achieved through follow-up contact and accurate transcription of customer information. The individual will be responsible for a range of tasks that ensure smooth operations and effective communication within the company.

  • Answer phones and handle incoming calls
  • Dispatch new jobs and create job information
  • Data entry using approved computer software
  • Type and process paperwork and business correspondence
  • Create invoices
  • Schedule work
  • Perform customer billing
  • Prepare production paperwork for the following day
  • Make collection calls
  • Work with insurance adjusters and mortgage companies
  • Complete inner-office documentation
  • Conduct follow-up phone calls
  • Minimum of 3 years of office and customer service experience
  • Basic understanding of bookkeeping and cash flow
  • Experience using bookkeeping software such as Sage Intact is a plus
  • Strong math skills with the ability to compute rates, ratios, and percentages
  • Intermediate to advanced proficiency in MS Office, Word, and Excel
