About The Position

The Accounts Payable Representative is responsible for managing the full-cycle accounts payable and related financial processes to ensure accuracy, compliance, and operational efficiency. This role supports the hospital’s financial integrity by processing invoices, managing vendor relationships, reconciling accounts, and assisting with reporting and audit activities.

Requirements

  • High school diploma or equivalent required; associate’s degree in accounting, Finance, or related field preferred.
  • Minimum of 2 years of accounts payable, accounts receivable, or general accounting experience.
  • Experience with accounting or ERP systems (e.g., Dayforce, CareCredit, Trupanion portals, or similar).
  • Proficiency in Microsoft Excel and basic financial reporting
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities
  • Excellent communication and customer service skills

Responsibilities

  • Perform accurate GL coding and process invoices in accordance with company policies.
  • Run daily AR reports; resolve unpaid balances, unapplied payments, and credits.
  • Obtain required approvals prior to processing payments.
  • Maintain vendor records and compliance documentation (e.g., W-9s).
  • Prepare and process refunds, payroll deductions, and weekly cash drops.
  • Respond to vendor and internal inquiries regarding payments, discrepancies, or documentation.
  • Research discrepancies and reconcile vendor accounts and monthly statements.
  • Manage end-of-month (EOM) processes, including finance file organization, promissory note folders, and CareCredit monthly reporting.
  • Manage NRB-related processes.
  • Report AR totals to HD/HSM, including client, employee, and credit balances.
  • Process mailed checks and oversee employee pet billing accounts.
  • Apply insurance and third-party payments (e.g., Trupanion, CareCredit, Scratch Pay)
  • Reconcile accounts and research discrepancies.
  • Support collections, billing disputes, chargebacks, and returned Checks.
  • Prepare balance-due notices and conduct follow-up reporting.
  • Address client financial concerns and inquiries professionally.
  • Act as the primary contact for Trupanion to support process improvement and workflow implementation.
  • Assist with month-end close, audits, and financial reporting.
  • Maintain taxable income spreadsheets and supporting documentation.
  • Ensure financial documentation is properly filed, maintained, and accessible.
  • Maintain vendor audit spreadsheets and supporting compliance records.
  • Provide financial training for new Client Care Coordinator (CCC) hires.
  • Prepare and distribute employee financial statements.
  • Conduct follow-ups on employee accounts exceeding 90 days in collaboration with HSM.
  • Apply employee pet discounts accurately and in compliance with policy.
