Pavement Preservation Group is seeking an organized Accounts Payable Coordinator with exceptional communication and problem-solving skills to process and maintain accounts payable records. This role is crucial in ensuring the smooth operation of the accounts payable department and involves various responsibilities related to purchase orders, invoice processing, and vendor management.

  • Issuing purchase orders to various departments and entering them into the accounting system
  • Issuing daily purchase order reports for approval of the orders by buyers
  • Reviewing daily field logs and receivers and posting costs to purchase orders
  • Reviewing daily schedules for receiving completion and determining cost codes for each crew
  • Forwarding schedules and daily field logs to payroll for entry
  • Maintaining a filing system in the purchase department for received purchase orders
  • Reviewing all invoices for appropriate documentation and approval, matching received purchase orders to them prior to payment
  • Verifying approval on all invoices that do not match or are missing receiving documents
  • Verifying vendor accounts by reconciling monthly statements
  • Placing orders with suppliers or vendors and ensuring that documentation is in order
  • Determining and maintaining pricing, reviewing price lists, and updating the database
  • Performing filing and copying
  • Daily entering new project work orders, including budgets and contract value, into the accounting system
  • Processing Preliminary Liens for all projects
  • Maintaining insurance documentation for all vendors and verifying they are current
  • Maintaining all company licenses and permits and verifying they are current
  • Assisting in monthly closings
  • Looking for ways to reduce costs to the company by evaluating costs of purchasing from suppliers
  • Handling special projects as assigned
