About The Position

The Accounts Payable and Payroll Specialist is a key member of the organization's financial department to complete the necessary work for accurate accounting and payroll practices. We anticipate the responsibilities for this role will be split approximately one-third payroll and two-thirds accounts payable. This balance may evolve based on business needs.

Requirements

  • High school diploma required; Associate's or Bachelor's degree in accounting/finance preferred.
  • 2+ years accounting or related work experience required.
  • The ability to work under pressure and meet deadlines.
  • Highly organized and has experience prioritizing multiple tasks.
  • The ability to work with a wide variety of people at many levels.
  • Excellent time management and organizational ability.

Responsibilities

  • Facilitate internal and external inquiries related to accounts and vendors.
  • Match invoices to relevant documents.
  • Handle the organization and electronic filing of payment support.
  • Process outside of dedicated payroll processing dates daily.
  • Processes payment of vendors & resolve discrepancies.
  • Receive and verify expense reports; reconcile expense and other financial reports with account balances and other office records.
  • Verify approvals and account coding.
  • Comply with AP policies.
  • Process multi-state payroll on a bi-weekly basis for 250+ exempt and non-exempt employees, accurately and on time.
  • Process certified payroll.
  • Review & reconcile timesheets obtaining appropriate approvals as needed.
  • Review, audit, and balance payroll-related input to investigate and resolve payroll discrepancies quickly and accurately, reporting to management as needed.
  • Create & reconcile payroll and accounting reports.
  • Support year-end payroll processing to include adjustments, verifying tax reconciliation reports, and other year-end related tasks.
  • Process and monitor garnishment orders.
  • Process employment verifications.
  • Respond to timekeeping, payroll, and tax related inquiries, maintaining confidentiality and with a high degree of customer service.
  • Exercise good judgment in the application and interpretation of company policies as they relate to payroll while maintaining compliance with applicable laws and regulations.
  • Maintain the integrity and confidentiality of all payroll/HR related files.
  • Maintain payroll best practices to improve efficiency.
