About The Position

Requirements

  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Basic proficiency in Microsoft Office (Outlook, Excel, Word).
  • Familiarity with accounting or AP automation tools is a plus.
  • Ability to work both independently and collaboratively in a fast-paced environment.

Responsibilities

  • Manage and organize the shared AP inbox, ensuring timely responses to vendor inquiries.
  • Answer and return calls from vendors to resolve invoice or payment-related questions.
  • Process and distribute physical mail related to accounts payable.
  • Stuff and mail checks as needed for payment processing.
  • Assist with setting up new vendors in the system, including gathering necessary documentation.
  • Complete vendor credit applications accurately and efficiently.
  • Support implementation and optimization of accounts payable automation tools.
  • Assist in testing and troubleshooting system workflows as needed.
  • Collaborate with team members to ensure smooth integration of automation processes.
  • Assist with maintaining a well-stocked kitchen (snacks provided by the company).
  • Support Accounts Payable Specialists by covering tasks during PTO or absences.
  • Help manage company T&E (Travel and Expense) cards, including related inquiries or reporting.
  • Assist the CFO with various administrative tasks and projects as needed.
  • Participate in special projects and contribute to process improvements.
  • Perform other tasks as assigned to support the accounts payable and office operations.
