The Accounting Support and Compliance Specialist provides critical support to the accounting department while managing compliance-related activities. This role is responsible for business insurance administration, regulatory filings, legal and liability documentation, business licensure, and record retention. Additionally, the position assists with accounts payable and purchasing functions to ensure smooth financial operations.

Requirements

  • Associate’s Degree in Accounting with at least 3 years’ experience in accounting, compliance, or insurance administration, or 5+ years equivalent experience in place of degree.
  • Excellent oral and written communication skills.
  • Must be able to communicate effectively in English.
  • Strong interpersonal skills to effectively collaborate with cross-functional teams.
  • Strong understanding of regulatory requirements and knowledge of business insurance policies and claims processes.
  • Expert proficiency in Microsoft Office required, especially Excel.
  • Self-motivated, detail-oriented, ability to multi-task/manage many projects simultaneously, and shift priorities as needed.
  • Must be able to work independently and be a team player.
  • Works well under pressure and meets deadlines.
  • Hearing and speaking ability which allows for effective oral communication of information; physical,emotional,and spiritual stamina to handle job-related issues and stress.
  • Must demonstrate legal authorization to work in the United States.
  • Must pass applicable pre-employment background screening procedures.

Responsibilities

  • Prepare and submit business regulatory filings, licensure renewals, and DBA documentation.
  • Manage donations tax credit filings and ensure compliance with applicable laws.
  • Maintain regulatory compliance documentation and support external audits.
  • Monitor changes in regulations and assess their impact on the organization, providing recommendations for compliance adjustments.
  • Act as primary contact for licensing requests, renewals, and overall management of all active licenses and coordinate with department directors as necessary.
  • Oversee record retention policies and ensure proper storage of financial and legal records.
  • File all vehicle registrations and maintain compliance with state and local requirements.
  • Manage the corporate credit cards, including deactivation and replacement of cards, and maintain a complete log of cardholders with signed agreements.
  • Manage all business insurance policies, including renewals, endorsements, and certificates.
  • Coordinate insurance claims and maintain documentation for liability and property coverage.
  • Ensure vendor compliance with insurance requirements by monitoring and reviewing certificates of insurance (COIs) on file.
  • Maintain current COIs on file for all vendors as applicable.
  • Partner with departments to track and report liability and legal issues arising from incident reports.
  • Assist with accounts payable processing, vendor setup, purchasing, and general accounting activities.
  • Support month-end close processes and maintain accurate financial records.
  • Ensure proper coding and documentation for insurance and compliance-related expenses.
  • Arrange for the sale or disposal of vehicles and ensure proper documentation.
  • Record documents with the appropriate municipality and maintain accurate asset records.
  • Support the Holiday Center Operation as directed.
  • Meet personal goals and actively contribute to the achievement of team and organizational targets/goals.
  • Support the Finance team in any other tasks as assigned.
