About The Position

Accounting Coordinator is a full-time, in-office position that supports the financial operation of Digital XPress, a print and direct mail production environment. This position plays a key role in keeping financial records accurate and organized, managing accounts payable, account reconciliations, and supporting the month-end close processes. The ideal candidate is detail-oriented, highly organized, and works well with cross collaboration, with strong accounting knowledge and QuickBooks experience.

Requirements

  • 3-5 years of Accounting and Bookkeeping experience
  • Proficiency in QuickBooks and Excel
  • Strong communication and collaboration skills.
  • Ability to meet deadlines, handle confidential information, and work independently
  • Participation in the company’s drug and testing program is required for employment.

Responsibilities

  • Maintain general ledger accuracy by posting journal entries, maintaining subsidiary ledgers, and reconciling balance sheet accounts
  • Support month-end close and journal entries
  • Prepare weekly and monthly cash flow reports, AP aging, AR aging, and financial summaries for controller review
  • Organize, digitize, and maintain account records
  • Manage full-cycle accounts payable including invoice entry, two-way matching, verification of approvals, GL coding, payment scheduling, and payment execution
  • Communicate with vendors regarding billing questions, payment timing, statement reconciliation, and documentation requirements such as W-9s and certificates of insurance
  • Assist with sales tax filings, year-end 1099 preparation, and gathering documentation for external accountants and auditors
  • Support HR as needed with payroll preparation, paperwork, and employee file maintenance
  • Participate in internal process improvements by identifying gaps, suggesting automation opportunities, and refining account procedures
  • Ensure adherence to company policies, quality standards, safety requirements, and SOC 2 guidelines
