Position overview: The Controller will be primarily responsible for overseeing all aspects of OptimaEd’s accounting operations, ensuring accurate and compliant financial records, and managing day-to-day accounting activities. This role will focus on core accounting functions such as accounts payable, accounts receivable, payroll, reconciliations, and financial reporting. The ideal candidate is a strong accounting professional with a CPA and leadership experience. Familiarity with accounting technology and process automation is beneficial, and experience utilizing AI-driven systems to enhance efficiency is a plus, but not required. The Controller will report directly to the Head of Finance (HOF) and will play an essential role in ensuring the financial health of our online school and business operations. This is a salaried, exempt position. As an exempt position, additional hours may be required as necessary to fulfill job responsibilities. Compensation is determined annually in accordance with OptimaEd’s established performance evaluation and compensation policies.

Requirements

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • CPA required.
  • At least 5 years of experience in accounting, with a minimum of 2 years in a controller or similar role.
  • Experience in an online or remote working environment is a plus.
  • Experience with accounting systems or ERP platforms (e.g., QuickBooks, NetSuite, Xero, or similar).
  • Exposure to automation tools or advanced accounting technologies is beneficial but not required.
  • Strong understanding of accounting principles (GAAP), financial statements, and reconciliation processes.
  • Proficient in Microsoft Excel, including advanced functions for financial analysis.
  • Familiarity with modern accounting software and reporting tools.
  • Exceptional attention to detail and organizational skills.
  • Strong communication skills with the ability to collaborate across departments and explain financial data to non-financial staff.

Nice To Haves

  • Experience with cloud-based accounting platforms (e.g., NetSuite, Xero, Sage Intacct).
  • Experience with process automation, reporting tools, or data analysis.
  • Familiarity with AI-driven tools or financial technologies (nice to have, not required).
  • Knowledge of the unique accounting needs of an online or educational organization.

Responsibilities

  • Oversee day-to-day accounting functions, including accounts payable, accounts receivable, payroll, and general ledger entries.
  • Ensure timely and accurate month-end and year-end closing procedures, including reconciliations of bank accounts and balance sheets.
  • Perform account reconciliations, ensuring discrepancies are investigated and resolved efficiently.
  • Ensure compliance with accounting standards (e.g., GAAP) and maintain accurate, detailed records.
  • Utilize accounting software and ERP systems to support efficient financial reporting, invoicing, and reconciliations.
  • Partner with IT and internal teams to improve accounting workflows and system functionality.
  • Identify opportunities to streamline processes and reduce manual work through automation and technology where appropriate.
  • Prepare monthly, quarterly, and annual financial reports that accurately reflect the financial health of OptimaEd.
  • Support the development of reporting tools and dashboards to provide timely financial insights for leadership.
  • Collaborate with the HOF to ensure that all financial statements comply with internal and external reporting requirements.
  • Maintain and enforce strong internal controls to ensure accurate financial reporting and safeguard against errors and fraud.
  • Lead preparation for annual audits and work closely with auditors to ensure compliance with all regulations.
  • Ensure compliance with relevant accounting regulations, including tax filings and nonprofit accounting standards (if applicable).
  • Lead and mentor the accounting team, ensuring adherence to accounting best practices.
  • Work closely with cross-functional teams (e.g., IT, HR) to resolve accounting-related issues and ensure financial systems align with operational goals.
  • Serve as a key point of contact for accounting-related inquiries from other departments.
  • Proactively identify areas for improvement in accounting processes and implement solutions to enhance efficiency.
  • Stay informed on emerging accounting tools, systems, and best practices to support continuous improvement.
