La Concha Resort is a modern luxury resort in Condado, Puerto Rico with history dating back to 1958. Requirements

  • High school diploma; associate degree in Business Administration or related field preferred.
  • Previous experience in filing, administrative office work, or similar role (hospitality experience preferred).
  • Basic knowledge of Microsoft Office programs (Word, Excel, Outlook).
  • Ability to handle high volumes of documentation accurately and efficiently.
  • Ability to maintain confidentiality and handle sensitive information.
  • Good communication skills in Spanish; basic English preferred.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and ability to meet deadlines.
  • Availability to work flexible hours, if required.

Responsibilities

  • Organize, classify, and file physical and electronic documents according to established procedures.
  • Maintain up-to-date filing systems, ensuring easy access and document retrieval.
  • Digitize documents and keep electronic databases organized and secure.
  • Verify the accuracy and completeness of documents before filing.
  • Handle confidential information with a high level of discretion and compliance with internal policies.
  • Assist in internal and external audits by providing requested documentation.
  • Prepare employee, vendor, and financial records as needed.
  • Coordinate the retention and proper disposal of documents in accordance with hotel policies and local regulations.
  • Support general administrative tasks such as photocopying, scanning, answering calls, and basic correspondence.
  • Collaborate with other departments to ensure proper document flow.
  • Perform other reasonable job duties as by supervisor.
