About The Position

The Accounting Associate supports the daily operations of the Finance and Accounting department by performing a variety of operational and accounting tasks. The Accounting Associate plays an important role in supporting the Foundation’s finance and accounting department by ensuring financial practices are timely, accurate, and compliant. This position is responsible for processing accounts payable transactions, preparing payroll, handling matching gifts, and performing routine accounting tasks related to cash transactions and benefit reconciliations. This position requires strong attention to detail, excellent organizational skills, and the ability to handle sensitive financial information with professionalism and discretion. The role involves regular collaboration with Foundation staff and external partners, careful prioritization of workload, and strict adherence to weekly and monthly deadlines. The Accounting Associate also participates in program-related meetings and contributes to Foundation-wide projects as needed.

Requirements

  • High school diploma or GED equivalent required; college-level accounting coursework preferred.
  • Minimum of 3 years of experience processing high-volume transactions accurately and efficiently. Accounts payable and payroll experience a plus.
  • Equivalent combination of college-level accounting coursework and experience directly related to the duties and responsibilities for this position may be considered.
  • Demonstrated ability to master new systems and processes.
  • Proven ability to manage time and prioritize tasks to ensure timely completion of assignments in a fast-paced environment.
  • Excellent organizational skills and attention to detail.
  • Intermediate Excel skills and capacity for growth required; advanced Excel skills a plus.
  • Intermediate MS Word and Outlook skills.
  • Demonstrated strong interpersonal and communication skills; ability to convey complex information to a variety of audiences; professional appearance and manner across in-person and digital communication.
  • Strong customer service orientation.
  • Proven history of integrity, honesty, confidentiality, and sound judgment. Comfort handling sensitive employee, employer, and partner information.
  • Ability to read, interpret, and communicate general accounting and financial data.
  • Ability to work independently while also collaborating effectively with the Finance team and supporting departments across the organization.
  • Residency within 40 miles of Roseburg is required.

Responsibilities

  • Maintain vendor and payee records, ensuring W-9s and ACH details are properly collected and recorded.
  • Monitor and review reimbursement requests in expense management system.
  • Process invoices and payment requests by retrieving and processing invoices, verifying approvals, coding expenses, and managing bulk transaction exports and imports from Excel and other financial systems.
  • Prepare and process internal matching gift requests in the grants database, coordinating with relevant teams as needed.
  • Process payments including printing and mailing checks; initiation of ACH payments; coordination of disbursement approvals with authorized signers.
  • Review and verify credit card transactions and reimbursement support for proper coding and documentation.
  • Reconcile vendor statements, research account issues, and address vendor inquiries.
  • Maintain electronic accounts payable files.
  • Prepare and file annual 1099 forms.
  • Prepare and process bi-weekly payroll for employees.
  • Maintain accurate and up-to-date records of all payroll activity.
  • Monitor employee timesheet approvals.
  • Reconcile and maintain PTO records for all staff.
  • Assist with annual W-2 preparation and filing.
  • Assist finance team and Human Resources with employee benefit program transactions and reconciliations.
  • Other payroll administration duties as assigned.
