About The Position

The Accounting Assistant provides essential financial, operational, and reconciliation support for the OCS (Office Coffee Service) and Vending business units. This role plays a critical part in maintaining accurate financial records, supporting daily operations, and ensuring the integrity of warehouse, billing, and inventory processes. The ideal candidate is detail‑oriented, technologically savvy, and comfortable collaborating with cross‑functional teams in a fast‑paced environment.

Requirements

  • Associate degree in Accounting, Finance, Business, or related field preferred; equivalent experience considered.
  • 1–3 years of accounting, AP/AR, reconciliation, or operational support experience preferred.
  • Proficiency in Microsoft Excel (basic formulas, pivot tables, VLOOKUP).
  • Comfort working with vending technology, credit card readers, and basic equipment troubleshooting.
  • Strong communication and interpersonal skills to effectively partner with field and warehouse teams.
  • Excellent organization, accuracy, and attention to detail.
  • Ability to analyze data, solve problems, and work independently in a fast‑paced, deadline‑driven environment.

Responsibilities

  • Perform detailed warehouse reconciliations to ensure inventory accuracy across OCS and Vending operations.
  • Review, validate, and maintain financial records to support accurate and timely reporting.
  • Investigate cash shortages/overages, warehouse discrepancies, and other variances; partner with operations to resolve root causes.
  • Create customer orders, process and issue invoices, and provide AR support including payment tracking and follow‑up.
  • Assist with AP functions as needed, ensuring transactions are properly recorded and documented.
  • Execute product pricing updates for OCS and Vending categories, ensuring system accuracy and alignment with company standards.
  • Troubleshoot vending machines equipped with credit card readers; coordinate installation, removal, and service requests with field teams.
  • Collaborate daily with warehouse staff, route drivers, and field operations to resolve issues related to billing, cash handling, inventory, and equipment.
  • Complete data entry tasks, maintain documentation, and support audit activities.
  • Safeguard sensitive financial information and adhere to all internal controls, policies, and procedures.
