The Accounting Assistant at Vanguard Cleaning Systems of Minnesota will be responsible for managing day-to-day accounts receivable and accounts payable functions. This role is crucial for ensuring accurate financial transactions and maintaining the company's financial integrity. The position requires a detail-oriented individual who can handle various accounting tasks, including invoicing, account reconciliation, and tax calculations, while also providing support during audits and other financial processes.

  • Coordinate day-to-day accounts receivable and accounts payable functions including daily customer deposits, bank runs, following up on past due invoices and weekly vendor check runs.
  • Maintain and reconcile credit card accounts.
  • Prepare and deliver monthly recurring, special service and supply invoices to customers as well as issue credits due to customers.
  • Receive, verify and record franchisee invoices, prepare electronic payments and provide franchisees with monthly report.
  • Calculate, file and pay Minnesota and Wisconsin Sales and Use Tax.
  • Participate in monthly closings, including account reconciliations and general journal entries.
  • Work with Office Administrator to enter client and franchisee data into QuickBooks and VFS database and resolve any discrepancies with these systems and SalesForce.
  • Assist in preparation of annual 1099 forms.
  • Assist in annual audit.
  • Back-up receptionist as needed.
  • Other projects as needed.
  • Associate degree in accounting required.
  • 2+ years of relevant accounting experience.
  • Experience with QuickBooks Enterprise desktop and SalesForce a plus.
  • Excellent attention to detail.
