About The Position

The Accountant has primary responsibility for accounts payable, journal entries, account analyses and reconciliations to support monthly financial processing and the annual audit, and assists with payroll processing. This role is responsible to provide timely and accurate work as well as ad hoc research, reporting and projects as requested. The position plays a critical role in adapting and enhancing procedures and internal controls and regularly performs a wide variety of complex accounting duties, requiring initiative and a significant amount of judgment.

Requirements

  • Bachelor’s degree in accounting or equivalent experience.
  • Five years of accounting experience, with arts or non-profit organization experience preferred.
  • Understanding of non-profit accounting and financial statement principles; experience with accounting software; Sage Intacct is preferred.
  • Strong verbal and written communication skills in English, including the ability to interact with a variety of people in a professional and courteous manner.
  • Able to communicate finance and accounting concepts and details to people who have little to no facility for them.
  • Excellent attention to detail and ability to communicate effectively with co-workers, volunteers, vendors and others.
  • Ability to maintain confidentiality of sensitive information.
  • Ability to transform data exported from one system to the form needed to import to another (e.g. export point-of-sale sales data to import as a journal entry for daily sales)
  • Experience creating and using spreadsheets for analyses
  • Excellent organizational skills including an ability to work independently with efficiency and accuracy; ability to manage and prioritize tasks.
  • Recognizes and understands key principles of internal control for cash and accounting transactions, and maintains compliance with these controls.
  • Demonstrate the initiative to learn and enhance skills that promote anti-racism, cultural competency, and an understanding of oppression and its impact.
  • Participate in intentional learning efforts, including events relating to understanding institutional racism and building cultural competency.

Responsibilities

  • Process and record incoming payments, donations and pledges
  • Create routine journal entries, such as frontline sales, monthly amortization, etc.
  • Assist with monthly & quarterly tax filings
  • Reconcile bank accounts
  • Assist with donor and fundraising record keeping, including tracking grant revenues and expenses
  • Generate reports to assist departments with tracking expenses
  • Assist with budget development and reporting
  • Collect and process finance-related documents from staff
  • Assist the Finance Director with additional duties, including preparation for the annual financial audit
  • Assist with financial analyses at various organizational levels
  • Set up and maintain vendors, including payment methods
  • Process and record bills and invoices
  • Prepare payments in accordance with established internal controls
  • Follow-up with vendors as needed
  • Manage expense approval process
  • Monitor credit card charge approval process and reconciliation to GL
  • Coordinate production of 1099s at year-end
  • Facilitate bi-weekly payroll process, including timesheet review
  • Coordinate new-hire onboarding
  • Coordinate annual benefit changes and renewals
  • Assist with major fundraising events, and other duties in support of the Museum
