About The Position

The Accountant and Auditor III position at the New Mexico Museum of Natural History & Science is designed for a committed and organized individual responsible for overseeing the procurement of essential goods and services for museum operations. This role ensures compliance with Federal and State laws, the State Procurement Code, and agency policies while preparing various procurement documents and maintaining financial records.

Requirements

  • Bachelor's Degree in Accounting, Finance, Auditing, or Business Administration.
  • Two (2) years of directly related work experience in accounting, auditing, finance, and/or budgeting.
  • Experience in State Government accounting, finance, purchasing procurement, and accounts payable.
  • Familiarity with the requisition, purchase order, and payment voucher process in SHARE utilizing the DFA Chart of accounts.
  • Knowledge of the New Mexico Procurement Code and State statutes and regulations.
  • Proficiency in Microsoft Office Suite, especially Microsoft Excel.

Nice To Haves

  • Experience with financial document preparation and reconciliation processes.
  • Familiarity with museum operations and procurement needs.

Responsibilities

  • Prepare purchase requisitions, contract orders, and direct purchase orders in a timely manner.
  • Process and track Foundation Payment Requests for the New Mexico Museum of Natural History Foundation.
  • Assist the Finance Manager in preparing revenue reconciliations and financial reports.
  • Maintain the Purchase Order report reconciliation process and monitor Fixed Assets.
  • Perform monthly reconciliation of Purchase Order reports and review the status of open purchase orders.
  • Work with vendors to obtain invoices and create documentation to clear or amend purchase orders as needed.
  • Maintain EXCEL spreadsheets for revenues, contracts, purchase documents, and agreements.
  • Serve as backup for Accounts Receivable.
