About The Position

Fox Valley ATC is looking to hire an Account Technician I. The ideal candidate is an individual who can multitask and prioritize daily duties. They will maintain resident Trust Fund accounts and employee time and attendance records, and prepare the Payroll Time Report. In addition, they will prepare and audit financial documents, review vendor invoices, and maintain a complete and accurate filing system. Requirements

  • Requires knowledge, skill, and mental development equivalent to completion of two (2) years of college and completion of an approved training course or three (3) years related clerical bookkeeping experience.
  • Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this class.
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
  • Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.

Nice To Haves

  • Prefers at least two (2) years of experience preparing invoices for payment.
  • Prefers at least two (2) years of experience verifying prices against vendor invoices and processing invoice vouchers for purchase orders.
  • Prefers at least two (2) years of experience utilizing accounting techniques and utilizing state or non-state accounting procedures.
  • Prefers at least two (2) years of experience monitoring documents guaranteeing accuracy of funds to process bills.
  • Prefers at least two (2) years of experience reviewing reports generated from an automated accounting systems against voucher documents.
  • Prefers at least two (2) years of experience assisting in data collection for status of budgetary reports.
  • Prefers at least two (2) years of experience manually inputting vouchers into a Fiscal Computer System.
  • Prefers at least one (1) year of experience maintaining logs for and generating reports.
  • Prefers at least one (1) year of experience following office methods and procedures.
  • Prefers at least one (1) year of experience following principles and functions of standard office accounting machines and equipment.

Responsibilities

  • Maintains accurate Resident Trust Fund accounts by inputting monies received on money receipt list/vouchers daily.
  • Maintains center's employee time and attendance records.
  • Prepares Payroll Time Report and manually calculates and checks each employees bi-monthly attendance, roll call, shift differential, overtime, temporary assignment, paid lunches, holidays, and any other information affecting the employee's pay and submits to payroll semi-monthly.
  • Prepares and audits complex financial documents, in accordance with Generally Accepted Accounting Principles (GAAP) and the Comptroller's Statewide Accounting Management System.
  • Reviews vendor invoices against appropriate receiving reports examining invoices for billing errors.
  • Maintains complete and accurate filing system and records personnel shift changes, day-off changes, and timekeeping code changes regarding promotions.
  • Processes Trust Fund balance and close-out accounts for discharged and paroled residents at facility upon notification of release.
  • Performs other duties as required or assigned which are reasonably within the scope of those enumerated above.
