Job Summary: As an Account Coordinator at The Helper Bees, you will support account management for enterprise level clients. You will build and maintain relationships with plan partners, manage projects tied to assigned accounts, and ensure client requests, escalations, and concerns are handled in a professional, efficient, and timely manner. You will play a key role in coordinating across internal teams and delivering accurate reporting to support account performance. The Account Coordinator will help operationalize benefit delivery for supplemental in-home support services, ensuring compliance, reporting accuracy, and exceptional plan partner experience across regulated healthcare environments. You will play an essential role in supporting health plan and LTCI carrier relationships by coordinating eligibility files, monitoring utilization trends, tracking regulatory requirements, and ensuring seamless member experiences that align with CMS and state-specific guidelines.

Requirements

  • Remarkable written communication skills
  • Highly effective verbal communicator
  • Working knowledge of Medicare Advantage supplemental benefits, Managed Medicaid programs, and/or Long-Term Care Insurance preferred.
  • Familiarity with CMS guidelines, health plan operations, or regulated healthcare environments is a strong plus.
  • Ability to manage sensitive health information in compliance with HIPAA and other applicable federal and state regulations.
  • Comfort working within structured, compliance-driven environments while maintaining startup agility.
  • Detail-oriented with effective project management skills
  • Comfortable with data analysis
  • Flexible and open to change in a fast paced environment
  • Ability to navigate multiple platforms, especially Excel and Google Sheets
  • Comfort and adaptability when working with technology and learning new programs and computer systems
  • Ability to travel as required (15-25 trips annually).
  • Must be 18 years of age or older
  • 2+ years of experience in account coordination, client services, project management or related roles dealing with enterprise level clients

Nice To Haves

  • Background in the Medicare Advantage or Long-Term Care Insurance industry preferred
  • Bachelor’s degree preferred

Responsibilities

  • Cultivate long-lasting relationships with new and existing clients/customers
  • Support the execution and ongoing management of Medicare Advantage supplemental benefits and Long-Term Care Insurance programs, ensuring alignment with plan design and regulatory requirements.
  • Coordinate eligibility file processing, reconciliation, and reporting specific to MA, Managed Medicaid, and LTCI plan partners.
  • Assist in tracking and documenting CMS compliance requirements, state Medicaid variations, and LTCI policy provisions that impact service delivery.
  • Partner with internal operations, compliance, and data teams to ensure government program benefit fulfillment meets contractual SLAs and regulatory standards.
  • Monitor utilization, member engagement, and benefit performance metrics specific to government-sponsored and LTCI lines of business.
  • Support readiness activities for Annual Enrollment Period (AEP) and other enrollment cycles impacting Medicare Advantage partners.
  • Maintain documentation related to audits, reporting standards, and plan performance requirements.
  • Collaborate closely with cross functional teams to resolve issues and fulfill partner requirements efficiently
  • Lead or support all client meetings with existing clients, taking charge of agenda development, allocation of follow-up tasks, and the efficient management of account teams to ensure optimal client engagement and satisfaction
  • Actively participates in staff meetings and attends other meetings and seminars as needed
  • Serve as a key liaison between various internal departments and external project stakeholders to ensure successful project delivery
  • Manage tickets for assigned plan partners
  • Assist with invoice management
  • Assist with monitoring SLAs for assigned plan partners
  • Contribute to the creation of compelling presentations for client reporting
  • Compile and analyze data on a daily, weekly, monthly, and annual basis and be able to apply critical thinking to client reporting
  • Create and execute specialized trainings by plan partner to promote growth
  • Travel to client meetings and pull through events as required by the assigned plan partners
