About The Position

The Director of Access Services provides strategic leadership and operational oversight for access operations across Physician Enterprise. This role is responsible for designing, optimizing, and governing provider scheduling standards to ensure timely, equitable, and consistent patient access across all clinics and service lines. The Director partners with executive leadership, clinical chairs, practice administrators, and centralized scheduling teams to drive system‑wide access strategy, strengthen operational efficiency, and ensure compliance with access standards. This leader oversees analytics, policy development, workforce planning, and performance improvement initiatives that directly impact patient access, provider satisfaction, and organizational growth.

Requirements

  • Bachelors Degree in Healthcare Administration, Business, or related field
  • 5+ years of progressive experience in healthcare access, scheduling, operations or ambulatory settings.
  • Demonstrated experience leading provider scheduling operations in a multi-specialty or health system environment.
  • 2+ years of formal leadership or management level experience.
  • Strong understanding of healthcare operations, scheduling workflows, and access management principles.
  • Excellent communication, problem-solving, and organizational skills.
  • Ability to work collaboratively with a wide range of stakeholders, including physicians and executives.
  • Analytical mindset with the ability to interpret data and drive performance improvement.

Responsibilities

  • Strategic Leadership Develop and execute the system-wide access strategy in alignment with organizational priorities.
  • Oversee creation, optimization, and governance of provider scheduling standards, templates, and access policies.
  • Lead enterprise-wide initiatives related to access management, clinic expansion, provider onboarding, and operational throughput.
  • Operational Oversight Ensure accurate, standardized, and efficient provider schedule builds across all specialties.
  • Maintain oversight of scheduling workflows, template accuracy, and specialty‑specific access standards.
  • Oversee continual analysis of access metrics (3rd next available, lead times, no-show rates, utilization, new patient access, hospital follows, and referral turnaround times) and develop action plans.
  • Collaboration & Stakeholder Engagement Serve as the primary system-level leader for physician scheduling concerns and access-related decisions.
  • Partner with providers, practice managers, and executives to balance organizational goals with provider preference and patient needs.
  • Collaborate with IT, Epic analysts, and operations support to improve system functionality and scheduling workflows.
  • Leadership & People Management Lead and develop a high-performing access services team, including Managers and Coordinators.
  • Establish clear goals, expectations, and performance standards for all access operations staff.
  • Oversee training programs for scheduling teams and ensure adherence to policy and best practices.
  • Technology & Data Governance Ensure proper configuration of Epic, QGenda, and related systems to support access optimization.
  • Develop and monitor dashboards, KPIs, and analytics to drive decision-making.
  • Leverage data to identify opportunities for improvement and lead system-wide solutions.
