About The Position

The Access Center Coordinator receives incoming calls and online requests from patients and referring providers for a variety of practices and specialties at Southern New Hampshire Health. This role completes patient registration and appointment scheduling while ensuring timely, efficient, and high‑quality service. This is a telephone and system‑based role with no in‑person patient interaction.

Requirements

  • High School diploma or equivalent required.
  • Minimum of two years of experience in a medical office, healthcare environment, administrative support role, or contact center setting.
  • Previous direct customer service experience required.
  • Understanding of referral triage processes and insurance requirements that impact scheduling.
  • Strong customer service, communication, and interpersonal skills.
  • Ability to exercise judgment with confidential information.
  • Detail‑oriented with accurate data entry abilities.
  • Proficiency with basic computer skills, including Microsoft Office.
  • Ability to manage high call volumes and work effectively in a fast‑paced environment.
  • Ability to interpret patient or provider needs and take appropriate action (scheduling, messaging, updating information).
  • Ability to perform duties on‑site or off‑site as approved.
  • Ability to meet essential mental, vision, and physical demands, including sustained keyboarding, sitting, and occasionally lifting up to 10 lbs.

Nice To Haves

  • Associate degree preferred.
  • EPIC experience preferred.

Responsibilities

  • Initiate and coordinate registration and scheduling for new patient appointments.
  • Accurately document demographic, medical, financial, and referral information in EPIC.
  • Answer and triage telephone calls, providing professional and courteous customer service.
  • Offer basic practice and hospital information; arrange interpreter services as needed.
  • Ensure all required information and records are available for providers prior to appointments.
  • Transcribe calls, referrals, and scheduling details across multiple systems accurately.
  • Provide excellent service to internal and external customers; support service recovery when needed.
  • Maintain strict confidentiality and privacy in compliance with HIPAA.
  • Keep supervisor informed of issues affecting departmental operations.
  • Assist in training new employees when needed.
  • Perform additional duties as assigned.
