About The Position

The Academic Records and Degree Specialist serves on a team of specialists in the Office of the Registrar, whose primary purpose is to provide academic and degree policy guidance to students, staff, and faculty. Responsibilities include degree requirement advising and evaluation, student records management, and course substitution guidance and processing for an assigned caseload of students. Academic Records and Degree Specialist Specialists are cross-trained in multiple specialty areas.

Requirements

  • BA required.
  • Three years of higher education curriculum and/or compliance-related experience or its equivalent desired.
  • Three years of collegiate-level graduation/academic advising experience or its equivalent desired.
  • Five years of SIS/ERP experience desired (Ellucian: Banner strongly preferred).

Responsibilities

  • Process student applications to graduate, audits degree requirements, determine commencement participation, and confers all University degrees and certificates.
  • Maintains current and working knowledge of past and present University Academic Catalog, providing institutional curricular policy guidance to current and graduating students.
  • Actively communicates with academic departments regarding both general degree requirements and individual student graduation plans.
  • Assist students who have participated in commencement but still need to complete degree requirements. Provides directions, degree requirements and record coaching.
  • Updates course substitutions in Degree Works for degree completion.
  • Maintains working knowledge of relevant federal regulations, including federal graduation reporting requirements, ensuring compliance is met in both student advising and timely degree conferring procedures.
  • Produces and coordinates communication sequencing of academic records and degree requirement guidance to the student body.
  • Makes recommendations for course substitution and process substitution requests for current students.
  • Provides registration guidance and/or resolution to outstanding issues, including advising on policy considerations such as course repeating, GPA resolution, and pre-requisite requirements.
  • Produce commencement web program in conjunction with the department of University Communications and Marketing.
