About The Position

The Academic Coordinator collaborates with the Directors of the Writing Program and Journalism Program to support the academic and community missions of each unit. The Academic Coordinator helps to manage programming initiatives and provides administrative and logistical assistance for both units. This position is not eligible for sponsorship of non-immigrant or immigrant visa status through Wake Forest University. All eligible applicants are encouraged to apply.

Requirements

  • Bachelor’s degree and two to three years of relevant work experience, or an equivalent combination of education and experience.
  • Strong interpersonal skills and the ability to interact with multiple constituencies of diverse identities and backgrounds.
  • Demonstrated ability in problem solving and conflict resolution.
  • Ability to collaborate, build strong relationships, and align project work with University’s larger mission.
  • Proven success managing an organization’s communications.
  • Excellent communication and time management skills.
  • Proficiency in Microsoft Office (or Google Workspace), Adobe Creative, WordPress, Workday, and other relevant software.
  • Ability to handle sensitive information in a confidential manner.
  • Ability to organize workflow and coordinate activities.
  • Ability to maintain effective relationships with colleagues and students.

Responsibilities

  • Manages the daily operation of the Writing Program and Journalism Program (i.e., answering phones and program emails, staffing reception desk, and ordering supplies); provides other general administrative and logistical support to Directors, faculty, and students.
  • Assists with development and implementation of Writing and Journalism Program initiatives.
  • Collaborates with Directors to create course schedules, manage the schedule build process, publicize courses, and manage classroom assignments and course material adoptions.
  • Provides on-demand assistance with course section revisions in Workday during the registration period.
  • Supports Directors with enrollment, minor declaration, graduation, and registration processes for students in each program of study and for the first-year writing requirement.
  • Maintains and updates email listservs and Google Calendars for both units.
  • Coordinates office assignments for all Writing and Journalism Program faculty, including procuring technology, furniture, and keys where applicable.
  • Manages classroom usage through EMS (room scheduling system) and assists with maintaining classroom space and technology.
  • Creates and disseminates regular newsletters for faculty in the Writing and Journalism Programs.
  • Organizes logistics for recruitment of permanent, visiting, and adjunct faculty and manages their administrative onboarding into both units.
  • Administers all program funds; tracks and monitors expenses; reviews program credit card transactions; reconciles general ledger on a monthly basis and submits journal entries as needed.
  • Maintains records related to curriculum (e.g. course syllabi), program meetings, promotion and review, professional development, course evaluations, minors, awards, etc.
  • Coordinates faculty and student events (e.g., meetings, retreats, and receptions).
  • Coordinates outreach activities involving students and faculty (e.g. major/minor fair, orientation open houses, speaker events, etc).
  • Creates and disseminates publicity materials (e.g., emails, flyers, and brochures) for programs’ events.
  • Maintains and updates each program’s website and social media presence, where applicable.
  • Collects and organizes data to assist Program Directors with research and assessment.
  • Assists both directors with annual reports as requested.
  • Acts as Departmental Property Administrator (DPA) and maintains log of fixed assets within the program.
  • Serves as program Business Administrator and attends meetings in order to stay up to date on Financial Services policies & procedures and shares information & policy changes with other members of the program.
  • Maintains and organizes Writing and Journalism Program electronic and paper records.
  • Develops and maintains reference materials for Writing and Journalism faculty.
  • Assists the Directors with the logistics of faculty review and promotion processes.
  • Liaises with counterparts in relevant campus units and represents units in appropriate contexts.
  • Supports partnerships with scholarly and community organizations and academic institutions; fosters relationships across the University by collaborating with other offices.
  • Performs other functions as required.
