About The Position

The Academic Assistant I is responsible for establishing contracts for newly admitted residents in various Advanced Education programs, including Advanced Education in General Dentistry, Endodontics, Oral Pathology, Oral Radiology, Pediatric Dentistry, and Operative and Esthetic Dentistry. This role involves managing all required matriculation documentation, coordinating admissions, registering students, advising on registration holds, and maintaining student files with confidentiality. The assistant will also provide office support, maintain application systems, create and manage surveys, handle loan deferments, process human resource actions, and assist with course management in Canvas. Additionally, the position includes initial contact responsibilities for the department and assisting with orientation and events.

Requirements

  • High school diploma or equivalent.
  • Two years of relevant experience.

Responsibilities

  • Establish contracts for newly admitted residents for various Advanced Education programs.
  • Manage matriculation documentation including contracts, transcripts, and certifications.
  • Submit and manage I20 requests for international students.
  • Coordinate admissions with the graduate school for selected residents.
  • Register students via ONE.UF administration and internal college registration.
  • Advise students on registration holds.
  • Manage and maintain student files with confidentiality.
  • Provide office support to the Administrative Specialist I during peak times.
  • Maintain application system in Canvas and update information annually.
  • Create and maintain questionnaires for program progress and exit surveys.
  • Schedule and compile results for program progress and exit survey meetings.
  • Manage loan deferments and enrollment verifications.
  • Process human resource actions within the School of Advanced Dental Sciences.
  • Establish and maintain courses in Canvas for advanced education courses.
  • Export grades and enter core course grades into the grade database.
  • Serve as the initial contact for the department and assist with orientation preparation.
