About The Position

The Academic and Administrative Coordinator at the Effron Center for the Study of America at Princeton University plays a crucial role in supporting the center's leadership and facilitating its mission-driven initiatives. This position involves managing day-to-day administrative activities, assisting faculty, and coordinating events, all while contributing to the center's growth and programming goals.

Requirements

  • Bachelor's degree or equivalent education and work experience.
  • 5 years' experience in an administrative support role in a fast-paced environment.
  • Highly organized with strong attention to detail and ability to work under pressure.
  • Ability to manage multiple priorities simultaneously.
  • Excellent verbal and written communication skills.
  • Proactive with the ability to anticipate the needs of the Directors and office.
  • Ability to work independently and as part of a team.
  • Experience supporting a Windows environment and Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Mac OS.

Nice To Haves

  • Experience in a Higher Education setting or within Princeton University.
  • Familiarity with Concur, PeopleSoft, Prime Financials, Microsoft Teams, Slack, and Sharepoint.
  • Experience answering phones and emails on behalf of an organization.

Responsibilities

  • Support progress on Center leadership priorities, including meeting planning, preparation, and follow-up.
  • Assist permanent and visiting faculty with onboarding, purchasing, and follow-up tasks.
  • Participate in event planning, including room reservations, catering orders, and setup.
  • Provide office support, including answering phones, managing emails, and maintaining office supplies.
  • Coordinate preparations for Executive Committee meetings, including attendee tracking and catering arrangements.
  • Support faculty search efforts by coordinating travel, accommodations, and interview scheduling.
  • Manage the internal calendar for the Chair and Center, drafting correspondence and presentations as needed.
  • Research and organize travel for faculty and students during academic breaks, including accommodations and transportation.
  • Handle selected roles in event planning, such as managing guest travel and proofreading communications.

Benefits

  • Eligible for overtime pay.
  • Standard weekly hours of 36.25 hours.
  • Benefits eligible after probationary period of 90 days.
