About The Position

We are seeking a highly organized and customer-focused Administrative Coordinator to support daily operations, ensure efficient scheduling, and deliver excellent service to both customers and internal teams.

Requirements

  • Proficiency in Microsoft Excel, Word, QuickBooks, and Google Calendar
  • Strong ability to provide timely, high-quality customer service
  • Proven ability to upsell products or services to existing customers
  • Excellent communication and interpersonal skills
  • Strong problem-solving abilities in customer service situations
  • Fluent in English (written and verbal)
  • Ability to manage multiple tasks and stay organized in a fast-paced environment
  • Additional duties and responsibilities as assigned by management

Responsibilities

  • Answer and manage incoming phone calls
  • Schedule and coordinate routine maintenance appointments (comfort agreements)
  • Confirm appointments with customers in advance
  • Provide real-time updates to customers regarding schedule changes
  • Communicate effectively with technicians about daily schedules
  • Complete document scanning and maintain records
  • Process permit paperwork and administrative documentation
  • Monitor and respond to emails and mailbox correspondence
  • Prepare and manage bank deposits
  • Enter warranty information, invoices, and maintain accurate records
  • Order materials and track inventory needs
  • Contact customers regarding past due accounts and collect payments
  • Support business growth through customer upgrades and new client acquisition
  • Build strong relationships with internal teams and external customers
  • Maintain and update Standard Operating Procedures (SOPs)
  • Perform additional administrative duties as assigned by management
