About The Position

The ABA Practice Manager (PM) is accountable for optimizing business performance of NeurAbilities ABA site(s). This includes exceeding key performance indicators (including Census, Billed Clinical Hours, Staff Productivity, Cancellations, and Staff Retention), overseeing facility management, ensuring compliance, and directly leading operations and clinical paraprofessional teammates. What you will do: Management Responsible for the hiring, performance management, and development of operations staff within assigned site. Supervises or manages, directly or through qualified subordinates, all operations staff within assigned site and ensures completion of assigned tasks. Provides operational guidance and administrative training to clinical and operations staff. Supports the clinical team in the identification and hiring of Board-Certified Behavior Analysts (BCBAs) and Behavior Specialist Consultants (BSCs). Conducts the operational component of interviews. In the absence of Client Service Coordinator (CSC), the PM is responsible for all tasks outlined in the CSC job description. Operations Owns and manages key operational performance indicators of respective site(s) (including Census, Billed Clinical Hours, Staff Productivity, Cancellations, and Staff Retention). Analyzes weekly metrics, conducts weekly site meetings to devise action plans, reports on weekly projections, and ensures progress against action plans. Collaborates with clinical management on meeting clinical performance benchmarks. Drives site census and staff growth through building local community relationships by conducting marketing outreach for at least 1 hour per week. Staffing Responsible for operational oversight of Behavior Health Technicians, including hiring, administrative training, maintaining full schedules, and performance. Supports new hire training, shadowing, EMR profiles/clinic access, schedules, and employment files (as needed). Forecasts staffing needs for site and presents needs on a recurring basis. Facility Oversite Manages office supply inventory and day-to-day facility functions. Reports issues, conducts monthly fire/quarterly emergency drills, provides incident reporting, and ensures office needs are met. Adheres to site budget for office supplies and IT needs and communicates any needs to Regional Director for approval. Patient Management Comply with all company policies and state regulations related to client intake, visits, assessments, documentation, and file management. Ensures compliance and adherence to all HIPAA requirements and regulatory agencies. Supports clinical team (BCBA/BSC, Clinical Director/Supervisor) in providing high quality care, through supporting patient scheduling, scheduling family meetings, etc. Adjusts posting errors requested by Billing and ensuring session conversions are completed. What you will bring to the team: Bachelor’s degree in business, Public Health, Healthcare Administration, or related field; or 3+ years’ relevant experience in a business operations environment. 3+ years’ experience within operations, evaluating metrics and optimizing performance. 1+ year of supervisory experience leading diverse teams towards a common goal. Working Conditions and Physical Demands: This job operates in a professional clinic environment and routinely uses standard office equipment such as a computer, phone, photocopier, filing cabinet, and printer. Ability to perform tasks involving physical activity, which may include light-medium moving and extensive self-positioning.

Requirements

  • 3+ years’ relevant experience in a business operations environment.
  • 3+ years’ experience within operations, evaluating metrics and optimizing performance.
