About The Position

The Office Manager/Clinic Manager functions as the lead administrator for one specific ABA Clinic site. They provide oversight, coordination, communication, documentation, and administrative support for the site while present in the center. Monday-Friday 8:00-4:00 pm (must be available virtually beginning at 7:00 am for schedule adjustments)

Requirements

  • CPR and QBS
  • Availability to work 40 hours a week to complete clinic needs, including evenings as needed
  • Some management experience
  • Hold active Registered Behavior Technician certificate, or completion within 60 days. (We have an in-house program for this if needed.)
  • Bachelor's degree in related field
  • Availability for on-call crisis support during all non-work hours.

Responsibilities

  • Responsible for all staff scheduling within an identified clinic.
  • Works with Human Resources department to assist with all personnel-related matters: performance, discipline, incentives, needs for further training/support
  • Relays company staffing needs to Staffing Director
  • Ensures timeliness of center-based staff by visual check in and out sheet
  • Assisting staff with client meals, drinks, or prep
  • Working with Staffing Director for training, introduction, and oversight of new staff
  • Communicates issues/concerns with supervisors, directors, and HR as soon as they arise
  • Maintains oversight of employee billing within the clinic
  • Responsible for all client cancellation and scheduling information
  • Communicates with building owner and property manager regarding clinic maintenance issues
  • Manages inventory requests
  • Ensures cleanliness and organization throughout the center
  • Ensures the daily schedule is followed
  • Communicates with all members of the Treatment Team regarding client specific information, cancellations, staff changes, information from parents.
  • Assists with Social media/Marketing
  • Communicates clinic changes to clients' families
  • Maintains ongoing communication with the clinical team working within the clinic to support client treatment
  • Assigns/reviews documentation to and from other employees
  • Updates center documentation as needed
  • Emergency procedures, practices, and documentation, including preparation for future
  • Communicates cancellations or changes in appointment times with families
  • Maintains client documentation, according to HIPAA requirements
  • Runs clinic meetings with staff: weekly kick off and monthly all staff
  • Supports training of staff with electronic data collection and electronic medical records
  • Coordinating clinic-wide activities in collaboration with other designated staff
  • Supports company-wide professional development trainings
  • Demonstrates independent problem-solving skills, but is able to seek support from appropriate parties when needed
  • Promotes FBS values, mission, and culture inside and outside of the Clinic
