Provide a high level of confidential support to the City Manager by providing full administrative services. This position serves as the initial contact for the City Manager; determines the needs of customers and directs them to the appropriate staff member for assistance. Prioritize and determine appropriate courses of action, referral or response, exercising judgment to reflect the City Manager’s style and organization policy. Provide information and assistance to the public in receiving appropriate City services. Compose, prepare, proofread and organize administrative reports, correspondence, memoranda and emails on behalf of the City Manager. Manage the City Manager’s calendar by prioritizing and arranging internal and external meetings. Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements. Develop a structured file system for individual topics to include meeting notes, outcomes, action items, relevant emails & correspondence, and key discussions to ensure accessibility of current information and status. Ensure that deadlines and action items are calendared appropriately and follow-up is completed. Position reports to the City Manager.
